Job Description

Position:                     Student Assistant- Admissions

Unit:                           Academic Affairs

Reports to:                 Admissions Assistant

Minimum Qualifications: Enrolled UB student (full time or part time in fall/spring). Microsoft Office applications. Good communication and organizational skills. Ability and willingness to work with others in a team environment. Speed and accuracy in data entry with attention to detail.

Primary Responsibility:  Provides assistance to the Admissions Assistant and Registrar in the processing of student applications, and provide backup coverage for the main office of the School of Social Work. Provide backup support to the main office and assist with clerical projects for the SSW.

Duties and Responsibilities:

  1. Provides general clerical support to the admissions and registration of SSW applicants/students; including but not limited to the filing of all applicant, student and graduate documents. With direction, will conduct outreach to prospective applicants, to assist in the completion of applications to the SSW.
  1. Processes incoming mail by opening, sorting and when appropriate filing mail, and responding by e-mail or phone to student inquiries.
  1. Maintains organized work space; including accuracy and order in file cabinets containing all applicant, student and graduate information.
  1. Screens and responds to telephone calls and emails providing information and/or referring inquirer to appropriate staff and/or information sources.
  1. Updates and handles applications from UB information systems such as GrAdMIT, makes applicant folders, communicates with applicants to assist in the admissions process, such as notification of all missing documents as well as when their application is complete.
  1. Assist in processing student graduation materials. Notifies students who expect to graduate if required documentation is missing, including but not limited final transcripts, SSW Application to Candidacy, and UB Application for Degree.  Makes copies of student transcripts for SSW files and sends originals to UB Degree Audit in a timely manner.
  1. Provides assistance in the preparation and execution of events including but not limited to student orientations and graduations.
  1. Participates in cross training, both providing and accepting training in other secretarial functions required by the School.
  1. Provides backup to the main office coordinator, and assistance to other team members, as well as assisting staff outside the unit when needed.
  1. Demonstrates commitment to team approach, working professionally and collaboratively with others within and outside the unit.
  1. Actively supports the Mission of the School and participates on School committees and workgroups.
  1. Identifies opportunities for and initiates appropriate problem-solving activity to effectively communicate and further the Mission of the School.

Supervision Received:

Directly reports to the Admissions Assistant, with task supervisions by the Registrar and Main Office Coordinator. Will work closely with the Admission Assistant day-to-day. The ability to work independently and initiate consultation with supervisor is needed.

Consequences of Errors:

  1. Misinformation to applicants and students
  2. Failure to collect time-sensitive data
  3. Administrative difficulties for Academic Affairs staff.
  4. Loss of potential applicants due to poor customer service, or misfiling paperwork
