Student Assistant Job Description

The Office of Shared Governance houses the Faculty Senate and Professional Staff Senate at UB, and assists all constituencies (such as faculty, administration, staff, students, and governing board members) involved in carrying out the institutional mission and goals by participating in the governance function in a manner appropriate to UB. Shared Governance is the foundation of higher education in the United States. Collaboration between faculty, staff, students, administration and governing boards is essential in carrying out the vision of shared governance.

The student assistant (SA) is in a very visible position and will work under the Staff Assistant to enhance the efforts and goals of the office. This position will assist with and attend all senate meetings and related events when possible. The SA will co-manage all social media related to these meetings and events. The SA will also be assigned general office support duties.

Responsibilities

Meeting Assistance

  • Must be available Mondays at 3:30 – 4:30pm for Staff Meetings.
  • Must be available on the 3rd Tuesday of the month (September through May, not during class recesses) from 2:30pm – 5:00pm (later if needed, typically not exceeding 5:30pm) to attend Faculty Senate Executive Committee Meetings on the North Campus, at the Center for Tomorrow.
  • Must be available every 1st, 2nd, and 4th Wednesday (September through May, not during class recesses) from 2:30pm – 5:00pm (later if needed, typically not exceeding 5:30pm) to attend Faculty Senate Executive Committee Meetings on the North Campus, in Capen Hall.
  • Must be available on the 1st and 3rd Thursday of the month (September through May, not during class recesses) from 2:00pm – 5:00pm (later if needed, typically not exceeding 5:30pm) to attend Professional Staff Meetings on the North Campus.
  • Will train on how to prepare coffee, set up catering order, set up name tags and sign-in materials for senators, and assist with any requests, as needed.

Social Media Support

  • Contribute and co-manage content for social media sites, including Facebook and Twitter.
  • Present to Executive Committees on how social media is being used by the senates.

Qualifications/ Skills

  • Ability to handle all responsibilities in a confidential manner, is a requirement
  • Ability to attend all/most meetings during semesters
  • Mature, hardworking, capable of accomplishing multiple tasks concurrently
  • Excellent communication, interpersonal, and time management skills
  • Works well both independently, and under close instruction of office staff and senate chairs
  • Strong attention to detail
  • Passion for shared governance – pre-law, policy, political science
  • Proficient in Microsoft Office Suite – especially Word, Excel, PowerPoint
  • Must be able to tweet and post to Facebook

  • Meets regularly with Senate Chairs to provide mentoring, career direction and development, and feedback.

Compensation

Paid, for a maximum of 16 hours per week during the academic year. Additional hours available during the summer, and class recesses. Must be able to commit to full academic year (September – May, not including class recesses).

Start date is negotiable. No later than one week prior to the start of Fall 2017 classes.
