Program Assistant
Job Description
Explore Buffalo is seeking a full-time Program Assistant with an engaging and enthusiastic personality to join our energetic and professional team in support of the organization’s mission of promoting Buffalo and Western New York history, architecture, and neighborhoods through quality education to learners of all ages. This position is responsible for ensuring that Explore Buffalo’s office operates smoothly on a day-to-day basis, and is primarily a responsive role that replies to the needs of Explore Buffalo guests, members, and volunteers.
Responsibilities:
Guest & Member Services
• Answer phone calls and emails requesting tour information and reservation assistance
o When necessary, issue cancellation notices for tours
• Answer phone calls and emails requesting information and assistance with membership purchases and renewals
• Process orders for new and renewal memberships
• Prepare and send membership renewal notices
• Track membership statistics
Volunteer Support
• Assist volunteers with reservation report access
• Maintain volunteer directory and related volunteer records
• Maintain inventory of tour supplies and distribute to volunteers as needed
Administrative
• Maintain files and records (mostly digital)
o Maintain tour attendance records
• Participate and take notes in weekly staff meetings
• Sort all incoming mail and distribute appropriately
o Process donations received and prepare donor acknowledgement letters
o Process and respond to charitable donation requests
• Prepare meeting materials for Board of Directors, committees, and other meetings
• Coordinate purchasing of office supplies
General
• Participate in Explore Buffalo’s volunteer events to connect with our volunteers
• Assist with Explore Buffalo events and other duties as they may develop
Qualifications:
• Two or more years of office experience including customer service is highly desirable
• Passion for promoting Buffalo and for Explore Buffalo’s mission
• Enthusiastic and energetic personality
• Flexibility and adaptability in a fast-paced work environment
• Strong organizational skills
• Ability to work independently and with a team, depending on the task
• Attention to detail; ability to coordinate multiple tasks simultaneously
• Excellent oral and written communication skills
• Proficiency in Microsoft Office
• Must have reliable transportation
Hours: This full-time position will be Tuesday-Saturday during Explore Buffalo’s tour season, April through October, 9am-5pm on Tuesday-Friday and 9am-2pm on Saturday (37 hours total per week). If desired, there will be an opportunity to switch to a Monday-Friday schedule during the winter. Occasional evenings and weekends will be required. Working as a team in our office is important to Explore Buffalo; however, a partially remote work schedule is an available option
Compensation: The annual salary range for this position is $34,000 to $37,000 depending on relevant experience. Benefits include paid time off and health insurance including dental and vision.
